Edit email templates and automated emails

Where: Marketing & comms → Communications

Change the wording of an email

  1. In the sidebar, open "Marketing & comms" and click "Communications".
  2. The "Email Templates" tab shows "Your email library", grouped by type. Click the email you want to change.
  3. Edit the "Subject Line" and the "Email Body".
  4. To add something like the student's name, use "Insert Merge Tag" on the right and click a tag.
  5. Click "Preview" to see it filled in for a real student, or "Test Send" to email it to yourself.
  6. Click "Save Changes".

To turn an email off, click the switch at the bottom of the email body. It shows "Inactive — this email will not send". Some system emails show "Locked — cannot deactivate" and can't be turned off. "Reset to Default" (or "Restore recommended wording") puts the original wording back.

Set up an automated email

  1. In "Communications", click the "Automations" tab.
  2. Click "+ New automation", or click "Open" on an existing one.
  3. Click each step to set it up: "Starts when" (what triggers it), "Who" ("Everyone" or "Only these offerings"), and the email to send.
  4. Click "Save".

The "Merge tags" tab lists every tag you can use and where its information comes from. The "Email Log" tab shows what was sent.

If something looks wrong Settings → Email sender only changes the name and address emails come from. It doesn't change any wording. If a tag shows blank in a preview, check the "Merge tags" tab to see where it comes from and fill in that detail.
